4. (b) (ii) Powers and duties of its Managers/Officers and Employees.
The various functions are carried out by Managers of various departments as per the instructions/procedures contained in HBPCL’s various Rules, Regulations and Guidelines. On the basis of powers delegated to the Managing Director by the competent authority, for the smooth functioning, some of these functions are further delegated to the Managers by the Managing Director / competent authority.
4. (b) (iii) Procedure followed in the decision making process
The procedure followed in decision making process (while carrying out the functions as described in4(b)(i) starts from managerial level of various departments through a system of internal noting, bringing out various facts and figures with relevant rules, The proposals with noting are submitted to higher levels and decisions are taken by the competent authority as per the Delegation of Powers approved by the competent authority.
In addition to above, decisions are also taken by the various Committees with the approval of the competent authority.
Accountability
Every employee/officer in the organization hierarchy is assigned duties with regard to their area of operations . Officers and staff are accountable for the performance of the duties/tasks entrusted.
4(b)(v) the rules,regulations, instructions, manuals and records
All functions, activities , work of staff is discharged in accordance with the rules, regulations, requirements of the company and as per instructions of seniors.

The list of records of Administration Department.
1.Maintenance of personal files of all employees.
2. Maintenance of leave record
3. Issue of increment, confirmation and leave orders
4. Sanction of medical claims
5. Pay fixation of employees on appointment and on promotion
6. Maintenance of record of employees on deputation/contract basis and consultants.
7. Issue of orders, various circulars, notices and other related service matters.
8. Settlement of final dues on account of resignation, superannuation and death.
9. Sanction of LTA as per the rules of Corporation
10.Maintenance of Service Books of employees.

All the correspondence received by the Company is attended and filed properly, according to subject matter.
